Selecteev is an online submission management system that helps organizations collect applications, manage subscriptions and facilitate reviews. Selecteev is a service provided by DYXO SAS.

We have written this policy to explain how Selecteev (“we”, “us” or “Selecteev”) uses the data you give us through our site(s), including but not limited to Selecteev.

What personal data does Selecteev collect via the Website?

Selecteev collects different information depending on how you use the Website and how you interact with us. ‘Personal data’ means any data which can be associated with you as an individual, either directly or indirectly.

The personal data we collect via the Website is likely to include (and depend solely on the questions asked by each platform’s administrators):

• Identity information, such as your name, company name, organisation type and job title.
• Contact data, such as your address, email address, telephone number.
• Technical data, such as your internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access the Website.
• Usage data, which includes information about how you use the Website and our services, and any communications we may receive from you.

Usage of said data

By providing personal information you are deemed to consent to your personal information being shared outside Selecteev in the following circumstances:

• where Selecteev needs to share your information to provide the service you have requested.
• where Selecteev needs to send the information to third parties who work on behalf of Selecteev to provide a service to you. We will only provide the information they need to deliver the service, and they are prohibited from using that information for any other purpose.
• where Selecteev wants to keep you up to date on the latest service announcements, updates or other Selecteev information
• where you have given us permission to share your information with third parties
• Selecteev will also disclose your personal information if required to do so by law in urgent circumstances, to protect personal safety, the public or our website.

Data ownership

Selecteev users that provide Application Question Responses:
Information you provide directly to an entity on Selecteev that has created an application form in response to questions they have created specifically for their program or entity are called Application Question Responses. Application Question Responses that you provide to an entity on Selecteev are available to that entity’s administrators and designated evaluators. Entities, to which you provide Application Question Responses may use that data, any associated basic information and data available by virtue of your relationship with that entity both on and outside of Selecteev.

Selecteev users that solicit projects to provide Application Question Responses:
Selecteev will not distribute or otherwise make available any Application Question Responses information without your permission. This provision extends to any evaluation notes and custom tags created by Evaluators. You will be notified if Anonymized Application Question Responses information will be made available to a third party and you will have the opportunity to decline making such anonymized information available.

Data access

We may access your data as follows:

• to provide you with information about services and other items that be of interest, provided that such use is consistent with this policy.
• to notify you of changes in the services we provide.
• to administer your account with us to allow you to use the site(s).
• to provide you with promotional material, but only in accordance with the terms.
• to use your data to customise the services we provide to you.
• to enable us to provide you with advertisements.

Other users of the site(s) may access your data if they have the rights to do so, or, if you have given them the right to access or see your data. An example is that the designated evaluators of a program may access your application to that program.

Any use that another user of the site(s) makes of your data is beyond our control. Any data you provide to us and the site(s) must comply with the terms.

Data aggregation

Selecteev may use aggregated, anonymous data in its efforts to improve Selecteev and to inform the ecosystem on on going trends.

This policy applies each time you submit data to the site(s). Your use of the site(s) means that you agree that we may use that data in accordance with this policy. Our privacy policy will change from time to time. The up to date privacy policy will always be shown on this page.

In the event that Selecteev is involved in a bankruptcy, merger, acquisition, reorganization or sale of assets, your information may be sold or transferred as part of that transaction. The promises in the privacy policy will apply to your information as transferred to the new entity. the services we provide.

Data storage duration and removal

Data are kept for any platform if the platform is not explicitely deleted by one of its administrators.

For a specific submission, the data will be immediately and irreversibly removed from the live servers.

Any deleted data, being either an entire platform or a specific submission, will stay archived in the backups for up to 6 months maximum.

Hosting

Any aforementioned data are stored on servers inside of the European Union.
Our hosting providers include, but are not limited to : Amazon Web Services, Clever-Cloud, Algolia

External users

Other users of the site(s) may access your data if they have the rights to do so, or, if you have given them the right to access or see your data. An example is that the designated evaluators of a program may access your application to that program.

Any use that another user of the site(s) makes of your data is beyond our control. Any data you provide to us and the site(s) must comply with the terms.
